6 to 8 weeks Choose a theme for the party, remember to include your child in the decision.
Select a date, time and location for the party.
If you are planning to have party performers (puppet show, magician) or entertainment (bounce house) begin your search. In many cities kid's party performers and entertainment book up quickly.
Prepare your guest list. You should have a good idea of how many guests will be invited. This will help to determine the scale of the party as you continue to plan.
Order invitations if you are planning on custom invitations.
4 to 6 weeks Purchase invitations if they are not custom.
Finalize guest list and mail invitations (4 weeks pior to party).
Plan agenda such as party activities.
3 to 4 weeks Purchase party decorations, favors and supplies for activities.
Plan menu.
2 to 3 weeks Arrange for helpers. Ask a few family members or friends to help with the setup/clean up and coordinate activities.
Inventory all supplies you will be using such as tables, chairs, punch bowls, serving dishes, coolers and other supplies.
Order cake.
1 week Shop for food.
Follow up with guests who have not RSVP'd.
Order balloons.
Pickup last minute supplies such as decorations, favors or activity items.
2 to 3 days Prepare favor bags.
Clean and child proof if necessary.
Day Before Prepare food including the cake if have not ordered a cake.
Charge camera and video recorder.
Decorate party area if you can.
Day of the Party! Finish decorating and set up for the party.
Finish food preparation.
Pick up cake(if ordered). You can also pick up cake the day before provided you have room to store it without the birthday child seeing it.
Pick up balloons.
Set up games and activities.
